Application / Gaerio – the web and mobile application designed for managing inspections, checklists, and equipment control within business organizations, available via web browser and mobile devices.

Organization – a business entity using the Application under the Agreement and creating its own user structure.
Organization Account – the main account assigned to the Organization, within which user accounts are created.
User – a person acting on behalf of the Organization, having access to the Application in one of the available roles: DEV, REP, ADMIN, SUSER, USER.
DEV – the highest system role available only to the Operator; full access to all organizations, functions, global administration, technical configuration, and developer operations.
REP – a role assigned by the Operator to manage and supervise specific organizations, with extended administrative privileges including editing categories, subcategories, checklists, and equipment.
ADMIN – a user with administrative privileges within their Organization; manages users (USER, SUSER), equipment, and checklists but cannot modify categories or subcategories.
SUSER (Super User) – a user with permissions to create and delete USER accounts; no permissions to modify equipment, checklists, categories, or subcategories.
USER – operational user performing checklists; no administrative permissions.
Data – all data entered into the Application by Users, including e-mail addresses, usernames, Organization name, photos, equipment information, checklist history, responses, and comments.
Agreement – an agreement between the Operator and the Organization concerning the use of the Gaerio Application, confirmed by acceptance of these Terms of Use.
These Terms define the rules for providing access and use of the Gaerio Application.
The Application is intended solely for business entities (B2B model).
Using the Application constitutes acceptance of these Terms.
The Operator may introduce changes to the Application and to the Terms, informing Organizations of significant updates.
The Application does not charge Users; any fees for Organizations are regulated by separate commercial agreements.
The Organization Account is created by the Operator or under separate arrangements.
User accounts within the Organization are created according to the following rules:
DEV – may create and remove users in all organizations.
REP – may create and remove users in organizations they manage.
ADMIN – may create and remove USER and SUSER accounts within their Organization.
SUSER – may create and remove USER accounts within their Organization.
USER – has no administrative privileges.
The Organization is responsible for the actions of its Users, including ensuring access is granted only to authorized individuals.
The Application enables Organizations to:
Create, edit, and delete equipment.
Assign equipment to categories and subcategories.
Create, edit, and manage checklists.
Perform inspections and checklists.
Document inspections with photos and comments.
View inspection and checklist history.
Scan and search QR codes assigned to equipment.
Manage users within the Organization.
DEV

REP
highest operational role for Organizations,
create/edit equipment,
create/edit categories, subcategories, and checklists,
manage organizational structure and data.
ADMIN
create and add equipment,

create and edit checklists,
manage users (USER, SUSER),
no role permissions for categories/subcategories.
SUSER
create and remove USER accounts,
perform checklists,
no administrative permissions for equipment, checklists, categories, or subcategories.
USER
perform checklists and inspections,
no administrative access.
The Operator processes data necessary for using the Application:
e-mail address,
username (any),
Organization name,
photos,
equipment information,
checklist history.
Providing a real name is not required — Users may use any chosen identifier.
Each User only sees data belonging to their Organization.
The Operator does not share data with third parties except when required by law.
Details on data processing are described in the Privacy Policy.
Users are prohibited from:
entering unlawful or illegal content,
attempting to gain access to data of other Organizations,
circumventing or attempting to circumvent security measures of the Application,
reverse engineering, decompiling, or modifying the Application code,
sharing login credentials with unauthorized persons,
taking any actions that may harm the Application, the Operator, or other Users.
The Organization bears full responsibility for the actions of its Users.
The Operator is not liable for damages arising from:
improper use of the Application,
user errors,
malfunction or misconfiguration of the client’s hardware or network environment.
The Operator undertakes reasonable efforts to ensure availability of the Application but does not guarantee uninterrupted operation.
The Operator may temporarily suspend access to the Application for maintenance, updates, or security-related work.
The Operator may block or delete an Organization’s or User’s account in case of violation of these Terms, actions posing a security risk, or breach of applicable law.
The Organization may request deletion of its account by contacting: contact@gaerio.com.
These Terms are governed by the laws of Poland.
Any disputes shall be resolved by the court having jurisdiction over the Operator’s registered office.
Use of the Application constitutes full acceptance of these Terms.
